Printer Setup for Laptops - Windows XP

Make sure you have a network connection. You will not be able to complete these steps unless you are connected to the campus network. Printing is available from both the wired and wireless networks.

Important! Updates Required for XP!

If you are using Windows XP Service Pack 2 (SP2), Microsoft has two hotfixes available that correct problems you may encounter printing from XP. Before you install any printers, be sure to install both of these hotfixes. You MUST have Service Pack 2 for Windows XP installed. Go to Start > Run, enter the command winver, and hit Enter to display the version of Windows you have installed. if you don't see Service Pack 2 listed, go to Microsoft Update and install it before installing these updates.

If you are using Windows XP Service Pack 3 (SP3), these hotfixes are not needed as they are included in SP3.

Off-Campus Printing: If you want to setup your printers and/or print from off-campus, you must first connect using the VPN Client. The VPN is NOT required for printing on campus.

1. Download the appropriate print driver to your computer and save to your Desktop (or wherever you prefer).

2. Double-click the file you downloaded to install the driver and setup your first printer.

After the program starts, you will see a window like the one shown here. The HP driver is shown as an example, but the Xerox driver looks the same.

3. The program will automatically save the driver files to your computer.

4. The Add Printer Wizard will start automatically.

5. Select the option to add a network printer, then click Next. Laptop Printing for XP Step 5
6. Select the option to connect to an Internet printer.

Then enter the URL of the printer you want to add:

Make sure you have installed the hotfixes listed at the top of these instructions before using these URL's. If you don't, you may have to restart your computer and re-install your printers.

7. Select the option to use a specific account.

Enter your Olin username and password.

Then click OK.

8. You will be prompted to select the manufacturer and model of the printer. If this is the first time you are adding a network printer, click the Have Disk button.

If this is not the first time you are adding a lab printer and already installed the printer driver, select HP from the list of Manufacturers, and then select HP LaserJet 4350 PCL 6 from the list of Printers, and click OK, then skip to Step 14. If the LaserJet 4350 is not listed, then click Have Disk and continue to Step 9.

9. Click the Browse button.

10. Click Open.

12. Select HP LaserJet 4350 PCL 6.

Then click OK.

13. The driver files will be copied to your system.

14. If you want to use this printer as your default, select Yes.

Then click Next.

15. Click Finish to complete the wizard.

Now that you have added the driver and the first printer, you can add the other printers using that same driver.

Go to the Start Menu, select Printers and Faxes, and click on the task Add a Printer. Now just go to back to Step 4 and follow the instructions again for reach printer you want to add. The only change will be to select a different Printer URL in step 6, and skip the steps to install the drivers since you only have to do this once.

Once you have installed all of the HP LaserJet printers you want to use, go back to Step 1 and install the Xerox color printers. If you started with the Xerox color printers, then go back to Step 1 and install the HP black and white printers.

Having Problems?

If you're having a problem setting up your laptop to print, here are some common problems and solutions.

Insufficient Permissions/You Must Be an Administrator

Setting up local printers requires that you be an administrator on your machine. If you see this error message, then you are probably logged on using a standard user account instead of an administrator.
