The information on this site should provide you with answers to most of your questions regarding Student Services for Olin's full-time MBA students. If you do not find the resource you need, please submit your own question using the form at the end of this page. We'll do our best to answer your questions and update this site as needed.



General Questions:


Where can I find a white pages and yellow pages phone book?
Phone books are available for your reference in Suite 114 (ask the receptionist to look at a copy).

How do I reserve a parking space for a visitor?
Call the transportation office at 314-935-5601. You will need to tell them (1) who the spaces are for, (2) what account number to charge, (3) what day and time the guests will be there, and (4) where you would like the spaces reserved. You will then need to fax signs (314-935-5327) to transportation for each reserved space.

Are office supplies available for student use?
Basic office supplies are available in Room 114. Items include a stapler, tape, 3-hole punch, white out, scissors and paper clips. Envelopes are also available upon request.

How do I make an appointment to see an MBA Programs staff member?
Come to Room 114 or call 314-935-8205 to schedule an appointment.

How can I reserve a study room or classroom?
Send an e-mail to General Services. Inform them of the date and time of your meeting, the number of people attending, and any special audio/visual equipment you need. GS will find a location for your meeting and email you the details.

Where can I make photocopies?
A photocopy machine is located in Kopolow Library, second floor of Simon Hall.

Where can I purchase postage stamps?
Stamps can be purchased at the bookstore in Mallinckrodt or at the post office on campus located on Throop drive.

Can I have personal mail and packages delivered to Simon Hall?
We strongly encourage students NOT to have their mail or packages delivered to the University. The University is not equipped to handle these deliveries. Due to the large size of the campus, we can not guarantee the safe receipt of your items. Please make alternative delivery arrangements if you can not be home to accept your packages.

Can I send a Federal Express package?
Yes, there is a Federal Express drop box located in the east end of Simon Hall, main floor (just past the elevator). Supplies are located in the drop box. If you wish to use WU's account number, you can pick up a preprinted Airbill, and pay for the shipment, in Room 114.

Where can I catch the WU shuttle?
The WU shuttle stops in front of Mallinckrodt. During the school year, most shuttle routes depart every 30 minutes. Service varies in the summer. Shuttle Schedules can be found in Student Services, Room 114. Or you can call Transportation at 935-5600.

How can I get reimbursed if I use personal money for club or Olin related expenses?
Complete a Budget Commitment Form found at http://www.olin.wustl.edu/mba/srv/Academics/forms.cfm or in Room 114. Receipts are required for reimbursement. Return completed forms to Student Services, Room 114. Note: An authorized club officer must sign club reimbursement forms. Forms for Olin related expenses (such as travel to an MBA forum) will be approved by the Admissions Office after they are given to Student Services.

Can I drop off mail in the Student Services office?
Due to the volume of mail processed by the University, we can not accept student letters. Please take your mail to the public mail box located on the sidewalk east of Simon Hall (on the way to Mallinckrodt).

Where can I send or receive a fax?
You may have faxes sent to (314) 935-4464. This is the number for the fax machine located in Student Services, Room 114. The cost to receive or send a personal fax is $.50 per page for local faxes, $1.00 per page for long distance, and $1.50 per page for international. (The page count includes the cover page.) You will not be charged for class related faxes.

How do I get a locker?
Lockers are available on a first come, first served basis. Simply purchase your own lock and place it on any available locker located on the mezzanine level or in the hallway parallel to May Auditorium (lower level). It is not necessary to complete any paperwork. At the end of the spring semester, you MUST remove your lock and personal belongings. Otherwise your lock will be cut off during the summer, and your belongings will be donated to charity.

Is there a Notary Public in Simon?
Currently, there is not a Notary Public in Simon. However, Pat Hale in the Executive Programs office in the Knight Center is a notary. She can be reached at 314-935-7040. You may also call the Law School at 935-6483 to inquire about their notary services.

How can I get another name tent for class?
Stop by Suite 114 to request another name tent (or send us an e-mail). The new name tent will be placed in your student mail file when ready.

I audited a course and was graded "L". What is the meaning of "L"?
An "L" means that you have successfully audited the class. It is the grade you want to get after completing an audit.

Registration and Advising:


What do I do if a class I want to take is full?
When you register for courses, if a course is full, you have the option of placing yourself on the wait list. As openings become available, students on the wait list will automatically be enrolled.

What is the procedure for requesting an exception to Olin School policy?
Exceptions to Olin School policy can be requested by completing an Academic Review Committee petition found at http://www.olin.wustl.edu/mba/srv/Academics/forms.cfm or in Room 114.

Can I transfer credit to the Olin MBA program?
Full-time MBA students can transfer up to 9 credit hours of AACSB accredited MBA coursework into the Olin MBA program. Olin faculty must approve the coursework, and the grade must be 'B' or better. See your advisor to initiate the process.

Under what conditions can I audit a class?
Students must take all courses that will count towards degree requirements under the pass/fail grading system. Coursework that will not count toward the MBA degree can be taken as an audit. Before you sign up to audit a course, make sure you receive faculty permission and clarify with the faculty member requirements for auditing that particular course.

How do I register for other division courses?
You will register via WebSTAC for other division courses at the same time you register for Business School courses.

How do I enroll in an independent study project?
Full-time MBA students may apply up to 6 hours of independent study credit towards the degree. In consultation with a faculty sponsor, students must complete an independent study petition form available at http://olin.wustl.edu/mba/srv/Academics/forms.cfm or in Room 114. Once completed and signed by the faculty sponsor, the form should be returned to Student Services for review and submission to the Academic Review Committee.

Where is the final exam schedule?
The final exam schedule for full semester and Mini B courses is available at http://olin.wustl.edu/calendars/.

How can I obtain an official WU transcript?
Official Washington University transcripts are available only from the Office of Student Records which is located on the lower level of the Women's Building. Transcript requests can also be made through WebSTAC.

What is the procedure to request information from my MBA student file (including previous transcripts for application to other WU programs)?
To request information from your MBA file, you need to complete and sign a Request For Information form available http://www.olin.wustl.edu/mba/srv/Academics/forms.cfm or in Room 114. Due to the confidential content of your records, we will review each request on an individual basis.

How do I obtain a course waiver?
Course Waiver forms are available at http://olin.wustl.edu/mba/srv/Academics/forms.cfm or in Room 114. To obtain a waiver, students must meet with the faculty member who teaches the required course and have the faculty member sign the waiver. Return the signed waiver to the MBA Registrar, Room 114. The Registrar will delete any waived courses, and, if indicated on the waiver form, will add any substituted course.

Will anyone review my record to verify I have enough credits to graduate?
All students who have filed an Intent to Graduate form will have their records reviewed prior to commencement to ensure all degree requirements are met. However, you should look over your record periodically to ensure you will have the proper credit for graduation.

How do I register for classes?
You will register for classes via WebSTAC. Registration instructions for each semester are posted here. If you need to find out your pin number, stop by room 114.

Do I need to register for both mini-semesters?
Yes, please do. Due to enrollment limits, as well as timely book and packet orders, 1st and 2nd year MBA students should register as early as possible for term A and B.

How can I obtain an unofficial WU transcript?
You can print an unofficial transcript via your WebSTAC account.

How can I confirm if degree requirements are met?
The full-time MBA degree plan is available at http:/www.olin.wustl.edu/mba/srv/register/index.cfm#sequence. Students should track their progress towards the degree using the published degree plan.

What should I do if my record shows unreported grades?
Each semester, you should review your academic record. If you discover unreported ("N") grades, you should first contact the professor for the course. If he or she is unable to provide an explanation for the unreported grade, contact Jacqueline Carter, MBA Registrar, for follow-up.

How do I file an Intent to Graduate form?
Intent to Graduate forms are available via Webstac.

Is there an additional charge for auditing a business school course?
There is no additional cost as long as you do not go over your total 18.5 credits including the audit.

Can I take courses in other divisions of WU?
Yes, full-time MBA students may take up to 9 hours of approved graduate level coursework in other divisions of Washington University. See http://www.olin.wustl.edu/mba/srv/PDF/ApprovedCourses.pdf for a list of approved courses. If there is a course that you are interested in taking for credit towards your MBA that is not on the list, obtain a copy of the syllabus from the professor and present it to your advisor for possible approval.

What is the deadline for dropping a course?
MBA students have two weeks to drop a mini-term course. Reminders with specific dates for each semester are communicated by the Registrar, but you can access up-to-date information from the Announcements and Quick Links page.

What is the deadline for adding a course?
MBA students have one week after the start of the mini-term to add a new course. Reminders with specific dates for each semester are communicated by the Registrar, but you can access up-to-date information from the Announcements and Quick Links page.

Financial Aid:


Where should I pick up my refund?
Refunds can be picked up from Student Financial Services located in the lower level of North Brookings. Their hours are 8:30 am to 5:00 pm, Monday through Friday.

Do I need to apply for financial aid every semester?
During your first academic year, it is not necessary to apply again for the Spring semester if your original loan was for a full academic year. However, during your second academic year, it is necessary to reapply for loans. Note that if you did not apply for a loan at the beginning of the fall term, you can apply for just the spring term.

When should I start the financial aid process for my second year?
You should complete a Free Application for Federal Student Aid (FAFSA) as soon as possible after January 1. You should get a renewal notice from the federal government with a PIN number you can use to access your renewal FAFSA. If you do not receive this postcard from the federal government, you can go to their website to apply online. Applications are also available from Linda Kilwin, Suite 114, if you prefer a paper copy. You will need Washington University's school code 002520 so that your need analysis is electronically transmitted to us. It takes roughly eight weeks for FAFSA data to be processed by the federal government. We would like to have your financial aid award completed before you leave for summer internships. This will prevent any delays in loan funds arriving by the time you return to school in the Fall.

When can I expect my Spring loan disbursements?
You should have received a disclosure statement from your lender when your Fall loan funds were disbursed. This disclosure statement indicates when Spring loan funds would be disbursed. Spring Stafford loans are usually disbursed in early January. Alternative loans, GradPLUS and Staffords are traditionally disbursed the first week in January.

When can I expect my refund for Spring?
If you have only borrowed Stafford, GradPLUS or Alternative Loans your refund should be available the second week of January.

If I underestimated my expenses, can I borrow additional loan funds for the current academic year?
This is determined on an individual basis. See Linda Kilwin, Suite 114, if you need to borrow additional funds. Your individual award will be reviewed to determine your eligibility.

If I'm going on a GMS trip, can I borrow additional funds? How do I need to apply?
Yes, you can borrow additional funds to help finance your GMS trip. See Linda Kilwin, Suite 114, as soon as the cost of the trip has been established. You will need to complete another award letter and loan application. It will take about a month from the time you return your loan application to Linda before funds arrive at the University.
